How to track reimbursements without losing sight of personal spending
By Jinit, Pluto's developer ·
A work expense can make your personal spending look unusually high. Subtracting an expected reimbursement too early creates the opposite problem: your tracker shows money back before you have received it.
Keep three figures separate: the expense you paid, the amount you think may be reimbursable, and the amount actually returned. This works whether you use a spreadsheet or an expense tracker.
Worked example: a ₹3,000 expense
These figures are illustrative. Suppose you pay ₹3,000 for a work-related purchase and expect ₹2,000 back. Before payment arrives, your unreimbursed cost is still ₹3,000. Once ₹2,000 has actually reached you:
- Original expense
- ₹3,000
- Confirmed reimbursement
- ₹2,000
- Personal cost after reimbursement
- ₹1,000
The calculation is ₹3,000 − ₹2,000 = ₹1,000. An expected amount is a reminder to follow up, not proof that the expense has been repaid.
Record partial payments accurately
If only ₹1,200 arrives, record ₹1,200. Your remaining personal cost is then ₹1,800, even if you originally expected ₹2,000. Keep any expected balance separate from the received amount.
In Pluto, confirming a partial amount marks that transaction as reimbursed at the amount you entered. It does not create a separate outstanding-balance tracker. If another payment arrives later, edit the confirmed total for that expense; do not replace it with just the latest instalment.
Follow the expense through Pluto
- Set the finder rules. Open Settings → Money preferences → Reimbursement policies. Add the categories, limits and periods that apply to your own arrangement. These rules help find candidates; a match does not establish employer approval.
- Review what is available. Open Settings → Money preferences → Reimbursements. Check the suggested expenses against your receipts and records. Suggestions are distinct from confirmed payments.
- Confirm the money received. Open an eligible expense from Transactions, choose “Mark reimbursed”, and enter or review the actual amount. Check each expense before confirming a group.
- Correct mistakes. Reopen the transaction and choose “Edit reimbursed amount” if the recorded total is wrong. Use “Undo reimbursed” if nothing was received. The confirmed amount cannot exceed the original expense.
Pluto subtracts the confirmed reimbursement from that expense's personal cost. It does not send a claim to your employer or obtain payment for you.
Check dates when reviewing a month
An expense and its repayment can fall in different months. Keep both dates in your supporting records and check which original transactions a report includes. Pluto's confirmed amount updates the original expense's net cost; do not treat that view as a bank cash-flow statement for the month the repayment arrived.
Before acting on a spending total, review its date range, excluded transactions and imported coverage. A lower personal-spending total after a reimbursement is different from having made fewer purchases.
